How to Write a Rent Reminder SMS That Actually Gets Paid (SA Guide)

A good rent reminder SMS takes 30 seconds to read and results in payment. A bad one gets ignored — or worse, damages your relationship with the tenant. Here are the exact templates that work for South African landlords.

Why SMS Works Better Than WhatsApp for Rent Reminders

Most landlords default to WhatsApp because it is what they use personally. But for rent reminders, SMS has three advantages:

  • It arrives even without data — many tenants run out of data. SMS still gets through.
  • It feels more formal — a WhatsApp from your personal number feels casual. An SMS from a business number feels official.
  • It is harder to ignore — WhatsApp messages can be muted. SMS notifications are harder to dismiss.

That said, a follow-up WhatsApp after an SMS significantly increases response rates. Use both.

The 5 Rules of a Good Rent Reminder SMS

  1. Keep it under 160 characters — long messages get split and look unprofessional. One crisp SMS is better than three fragmented ones.
  2. Include the amount and reference — tenants should not have to guess what to pay or what reference to use.
  3. Be polite, not apologetic — you are entitled to your rent. Do not over-apologise for asking for it.
  4. Include an opt-out for POPIA compliance — "Reply STOP to unsubscribe" is required by South African law for automated messages.
  5. Send at the right time — between 8am and 6pm on weekdays. Never on Sundays or public holidays.

Template 1: Pre-Due Date Reminder (2 Days Before)

Hi [Name], a reminder that your rent of R[amount] for [Unit] is due on [date]. Ref: [VRN]. Thank you. Reply STOP to opt out.

This is your most important message. Most landlords skip this one entirely and only send reminders after rent is late — by which point it is already a problem. A pre-due-date reminder prevents the problem from starting.

Template 2: Due Date Reminder (On the Day)

Hi [Name], rent of R[amount] for [Unit] is due today. Please pay using ref [VRN]. If already paid, ignore this. Reply STOP to opt out.

The phrase "if already paid, ignore this" is important. It removes any defensiveness the tenant might feel and reduces the chance of a tense response.

Template 3: Day 1 Late Reminder

Hi [Name], we have not received your rent of R[amount] for [Unit] yet. Please make payment today using ref [VRN]. Contact us if you have any questions. Reply STOP to opt out.

Still polite, but now you are making it clear you are tracking. "We have not received" is factual and professional. It does not accuse — it states.

Template 4: Day 3 Late — Urgent Reminder

URGENT: Hi [Name], your rent of R[amount] for [Unit] is now 3 days overdue. Please pay immediately using ref [VRN] or contact us to make arrangements. Reply STOP to opt out.

After 3 days, you can use "URGENT" in the opening. This is when tone shifts from friendly reminder to serious notice. At this stage you should also be attempting a phone call.

Template 5: Day 7 — Final Notice Before Formal Action

Hi [Name], your rent of R[amount] for [Unit] is 7 days overdue. Please make payment within 48 hours to avoid further action. Ref: [VRN]. Reply STOP to opt out.

At this point you should also be sending a formal email or letter. The SMS alone is not sufficient for legal purposes, but it increases the chance of payment before you need to escalate.

What Not to Include in a Rent Reminder SMS

  • Threats of eviction in early messages — legal threats in day-1 reminders are premature and can backfire legally
  • Emotional language — "I really need this money" or "you always do this" are never appropriate in written communication
  • Debt collection language — phrases like "debt" or "collection" trigger POPIA and NCA obligations. Keep it simple: outstanding rent.
  • Personal grievances — if you have other issues with the tenant, this is not the place
